CHAPTER 1
INTRODUCTION
This chapter will detail about different sub topics, titles or sub titles of the study of positive team communication and project success where the focus or case study will be the humanitarian NGOs working in Mogadishu. The sub topics of the chapter are background of the study, the research objective and questions, problem statement, scope of the study, and research design and methodology of the study of the impact of positive team communication and project success. The study will also examine how poor communication and lack of collaboration within every team working in an organization, company or project can trigger failure. So that, we will focus on humanitarian and relief organizations which have been operating in Somalia, particularly those operating in Mogadishu, capital city of Somalia.
1.1 Research Background
The Phoenicians created the first words of communication approximately 3500 BC (About.com, 2022). When we interact with another person or group, a shared understanding quickly develops. The word "communication" is derived from the Latin verb communicare, which meaning "to make common." According to Barrett, communication is "the conveyance of information from one individual to another or to a group of individuals, whether verbally or nonverbally" (DJ, 2006). The act of conducting or delivering a message or piece of information from the correspondent through a designated channel to the recipient is referred to as the communication process. The act of communicating is a form of cyclic process that begins with the sender transmitting information and concludes with the sender providing feedback.
According to the PMBOK Guide, a project is a brief attempt started in order to produce a special good, service, or outcome (PMI, 2013).In order to achieve goals through providing deliverables, projects are begun. At all organizational levels, projects are launched. A project may involve a single person or a team of people. One organizational unit from one organization may participate in a project, as may several from different organizations. Project scope and purpose, schedule and risk management, communications management, cost and procurement management are a few crucial ones that must be addressed to guarantee the project is completed in a timely and high-quality manner.
This study focuses on how effective team communications contribute significantly to project success. Many project managers have alluded to communication as being essential. To define project objectives, it is crucial for project group members to work together, double-check, discuss, and incorporate information. As a result, it's critical for group members to comprehend the communication process. There are various reasons why communication is necessary in a project, but the most important ones are gathering information, sending information, receiving information, asking questions, giving instructions, engaging in team-building exercises, or networking (Burke, 2007).
Lack of effective communication with key stakeholders or key parties poses the biggest threat to the success of any project, according to many experts. Many project issues, such as unclear objectives or utopian schedules, also point to communication strategy issues (Schwalbe, 2013). Especially when it comes to communicating with top management within the business and external stakeholders, it is crucial that project managers and their team members plan for reaching one of their top priorities. Communication is the exchange of information, facts, data, and technical opinions at the needed and relevant time for the conduct of different sub activities that is very crucial the implementation of work or daily life issues between people and organizations/institutions.
Communication is very crucial for the different aspects of life because so that life could be smooth, develop and help the attainment of the issues to be attained in the process of human life. It has been assured that human life cannot continue joyfully without positive communication. The most important aspect for human life is the creation of better and longtime relations and this cannot be attained without positive communication and follow of information. Like projects are not only very important for the life of the human being but it is also important, they are also very important for human long-term development in life and life sectors. Effective communication is a critical talent that is essential to the success of any endeavor, anywhere in the world. All project management teams depend on it to function, and it supports all of the abilities required to deliver successful projects. Effective communication requires being distinct, transparent, and clear. Why, therefore, is effective team communication so essential to project success? Effective communication is important to a project's success. Project teams can usually disintegrate without it. Important project components may be overlooked, deadlines may be ignored, and things may be lost in translation.
Since teamwork is essential to a project's success, poor communication can result in conflict and a subpar product. If you're not careful, the project's completion may come off far worse than it did in the beginning. Projects are carried out or implemented for the change of human life negative condition they feel and change it to positive; the projects increase the experience and the knowledge of both those who are implementing the project and those who are the direct and indirect project beneficiaries as well as those who contribute the resources of the project. For this importance projects need long term impact on both the life and the experience of those who implement and those who benefit it. The project goes through different stages like assessment conduct, project creation, project planning, project implementation, beneficiaries’ selection stage implementation stage, monitoring and evaluation stages. So, the only thing that continues and exists in all phase of project implementation and post implementation is the communication. In the post implementation, those who planned and conducted the project need to measure the level of project success and its impact and effect of those for their benefits carried out the project. This means project goes different stages like planning to project closure and for all these stages of the project, the only thing that can make possible for the projects move from stage successfully to another stage is communication plus positive team collaborations and this makes the communication the center of project success. The only way said to find a positive team communication is that the leaders or managers of organizations and project managers to build trust and capacity of the team during project and program operations. (al, 2004).
The most vital tool for successful project collaboration is probably communication. Although they have a tight relationship, coordination and communication have separate objectives. Project operations that involve managing people and resources fall under the broad category of coordination. In meetings, across telecoms, and through printed materials, communication is the information flow that supports project activities. The timely and free sharing of accurate information among the appropriate parties is a wide definition of effective project communication. Clear, honest, open, and frequent but not overly so communication between project team members is essential. The ability of the participants to adapt their communication methods and styles to the project at hand will therefore determine whether or not project coordination is successful.
Paulus and Nijstad (2003) stated that following a company's reputation is improved and money is saved via good communication. It assists in preventing coordination issues that could lead to project failures and aggravate team members. At least one in four such events, according to studies by project owners of failures, near failures, and issues with recently constructed projects, are the result of poor communication or a lack of coordination within the project team (American Society of Civil Engineers Guide Book, 2000). In order to have effective project communication, team members or partners must be aware of their inherent variances (Northouse, 2004). Project managers must recognize and take into account the individual differences of the project participants in order to ensure good coordination and communication (Zakaria, 2012).
Different people and different stakeholders are involved in the different stages and levels of the project; for instances some of the organizations or hierarchy are implementing the projects and others are funding the project whole others institutions are benefiting the projects, regarding all parties mentioned above are termed as stakeholders in project management terminology and those are the stakeholders that benefit the final product of positive team communication which comes under better collaboration and creating good and effective communication within the team, managers and all sorts of stakeholders whether they are those funding the project or those making use of the final output of the project. This is proposing that different stakeholders communicate during the project stages and phases for the success of the project. Anyone in charge of a project must be able to communicate with all parties involved.
Additionally, it implies knowing how to bargain when circumstances are not favorable. A project manager should adjust his or her communication style to the particular group of people with whom he or she is speaking about project-related issues. It is also very significant that project leaders plus communication team would really know more about how they would reach their target audience by using most appropriate communication channels with very clear and concise messages. To communicate properly, the project leader needs to deliver the right message to the right audience at the right time. Using various kinds of template and methods, the project leader can list the communication stakeholders, identify their information needs and create a complete schedule for delivering project information to them in a timely manner. He/she should have a communication plan which mean planning on the communication strategy with all project stakeholders (P., 2007).
Some projects success, again other more projects might have end in failure as a result of two important things in communication and project success which are communication and building trust between communication team in order to attain getting a positive team communication which always work son best ways to succeed final objectives and goals of projects. Many NGOs [Non-Governmental Organizations] also collapse because of misunderstanding within the communication team and this has been the result of poor communication within the teams through communication. The teams compose of individuals who make the organization, NGOs who implement projects.
A working group seems as a communal entity embedded in a larger interactive social structure and team communication can be defined as an symbolic behavior that occurs as a follow of information among individuals, in which all members are persistently and concurrently distributing and receiving information or exchange of information to develop a sense of shared meaning occurring through verbal and nonverbal channel The measurement of team communication usually involve the degree to which team members feel the information was clearly received from other team members the incidence with which they cooperated with other members of the team and the degree to which information was shared or some combination of these components. In other words, A team must be consisting of persons conducting work as whole on a same duty with competencies and skills. "A group that working together in projects, programs, companies, and any sorts of organizations and companies (Bluck, 1996). According to (Katzenbach, 1993) "it also defined that a team is a small group of people with agreeing skills who are in a good position to a shared tenacity for which they hold themselves equally liable".
Similar to this, Adair (1986) views a team as essentially a group performing tasks together with a shared goal and the necessary skills. In light of this, a team should be thought of as a collection of coworkers who are dedicated to working together to achieve their goals and objectives. Each member of the team should possess complementary, specialized, and practical skills, which really ensures effective team communication, which is crucial to the success of every project. A group of people who are equally dependent on one another in order to accomplish a common goal might be said to be working as a team (Biech, 2001). It consists of duty, ally ship, a distinct purpose, and objectives. In order to accomplish their shared objectives, team members should have certain qualities, such as promise, liability, and abilities. As a result, for a team to work well, members must agree on a shared code of conduct, project planning, role distribution, and management responsibilities including scheduling and decision-making. Making decisions on these matters will help prevent any misunderstandings during the team's life cycle (Parrish, 2001).
Positive teams, according to Johnson & Johnson, "have a set of interpersonal connections built to meet stated goals" (Johnson and Johnson, 1998). Interpersonal connections help team members get along better and work together more effectively. Additionally, it could create a positive, supportive environment where team members appreciate one another on both a personal and professional level, resulting in higher levels of accountability, excitement, commitment, and productivity. Therefore, it is crucial to recognize successful and efficient teamwork as well as to identify the main factors that may prevent teams from cooperating as a group in order to maximize the likelihood of team success.
Lack of knowledge, skills, the ability to exchange ideas, and the ability to perceive the broad picture are the root causes of team failure (Hays, 2004), key teamwork abilities are missing, and members of the team frequently are unsure of their place within the group. Team members struggle to finish the tasks at hand and prefer to work alone rather than as a unit. The elements of dysfunctional teams and the belief that team members are unable to work together to attain the same goal are outlined below (McGourty and De Meuse, 2001). These are some of the causes:
· Have a weak or nonexistent dedication to the team's overarching goal or mission.
· Argue frequently, squander time ineffectively, and are unclear about one another's responsibilities and expectations.
· Act more like a group of individuals than a team;
· Lack defined goals, effective leadership and direction, distinct milestones, realistic project plans, and project management abilities.
· Fail to give challenging ideas or do things the way they have always been done.
The same topics pertaining to dysfunctional teams were also categorized by Kipp and Kipp (2000), including:
o Poor conflict handling within the team or not being able to manage problems at all;
o Engaging in pointless debates and failing to adhere to team directives;
o Constantly disparaging one another over divergent viewpoints;
o Lack of cooperation in achieving team goals; instead, each team member strives to forward his or her own ideas without considering those of the others; and
o Inability to maintain team harmony and refusal to draw lessons from their collective experience.
These writers highlight the fact that dysfunctional teams share many traits with unsuccessful teams. These include working as a group of individuals rather than as a team to achieve the team's purpose and goals. They also include team members who lack knowledge and/or skills, who don't collaborate on tasks, roles, and responsibilities, who lack team commitment, who waste time in arguments, who handle conflicts poorly, who lack management skills, and who exhibit poor leadership. It is always argued that regularity in communication will improve the follow of knowledge exchange within other team members and will increase the performance of team leading to success of projects. In modern era, most of the projects are using team approach to accomplish the complex tasks which cannot be achieved by individuals. Teams are often formed keeping in view that they will enable organizations to meet the deadlines, optimum use of resources, best coordination among team members, reduce the workload on individuals and to increase the use of latest and complicated technologies.
Projects are often complex in nature involving unstructured activities and tasks. Completion of these projects requires expertise and diverse knowledge from different field. To cater the complexities of information technologies team individuals needs to coordinate and communicate in well-coordinated manner to achieve the targets and reduce risks and project uncertainty(Baig, 2019).So, this study will concentrate on that collaborations create positive communication and that positive team communication play an outstanding role in project completion successes.
1.2. Problem Statement
The adaptation of positive communication in the different stages of the project supports team building, collaboration between the teams, the project beneficiaries both direct and indirect, those who provided the resources like the equipment, materials or in other words the fund of the project. This also helps that the different teams and different levels co-step from one stage of the project to the second or next stage of the project. This also makes possible the attainment of both the project objectives and goal as well as having positive impact on the project area and beneficiaries. Through the positive thinking communities integrate, project teams integrate and communities and project teams also integrate as they exchange information, facts, data, and implementation strategies.
Many projects would really end failure in one stage of the projects stages and as a result the hopes of project success would also end in nightmare due to poor communication and lack of collaborating and effective team. In modern era or in other words in recent days NGOs which are involved and important for their existence for the success of the projects collapse for one major reason which is poor communication triggered by shortage of collaboration between the team working in organizations and of course projects. (Assaf and Al Hejji, 2006).
The flow of information does not go to the needed level for project success, the expertise needed for the project success are not seen with in the different teams of the project because of poor communication. Poor communication results loss of communication, proper communication lines for humanitarian sectors mainly national and international non-governmental relief or aid organizations operating in Somalia, particularly those operating in Mogadishu in a bid to assist destitute and displaced people is very important and crucial for not only their day to day activities and ensuring their operations implemented but also that their project ended in success.
Poor Communication effects proper end of humanitarian activities in Somalia, particularly, in Mogadishu, absence of team that communicate positively in order to attain final objectives of projects and organizations and to end the project successfully in the only problem which exists in Mogadishu. If there were not positive and efficient team that could work hard and together, the situation of the completion of every project could really be in at mess and non-predictable closure of project activities. Thus, this study researches best ways to figure out such problems. As a researcher, in my following research I will systematically try to find out best solutions for the problems of non- positive project team and poor communications.
Research Objectives
1.3.1 General Objective
This study aims at determining effects of positive communication and team work spirit in the project success among relief organizations in Mogadishu, Somalia.
1.3.2 Specific Objectives
To evaluate the relations between positive communication and project success among relief organizations in Mogadishu, Somalia.
To explore how positive communication influences project success
To pinpoint how positive communication strengthens team work.
1.4 Research Questions
a)That is the relation between positive communication and project success?
b)How do positive communications influence project success?
c)How does positive communication strength team work?
1.5 Significance of the Study
The study has different significances. It has significance as it is deeply elaborating the positive communication impact on project achievement in the case of NGOSs in Mogadishu, Somalia. Its significance is that researchers and other scholars making study are referencing the study as a secondary data. Its significance is that it is forming and adding the studies produced university students for university degrees. Significance is that future researcher will look the matter differently how it is looked or perceived in this research. The other important is that humanitarian organizations, constructions industries, telecommunication companies’ governmental and non-governmental organizations, managers all above organizations and companies plus managers and directors will make use of the study’s findings.
1.6 Scope of the Study
The project scope in title wise is the Positive Team Communication Impact on Project Success while its geographic scope is Mogadishu, Somalia and it will be focusing this year of 2022. The scope will also cover positive team and communication impact on particularly humanitarian projects underway in Mogadishu and its environs.
1.7 Definition of Terms
Below will be the definition of terms in which I divined by using Macmillan Dictionary, Google Definitions and of course Project Management Book of Knowledge (PMBOK5th Edition).
1)Communication: Important Definition: Human communication is the act or process of exposing your ideas, thoughts, feelings, etc. to another person through the use of words, noises, signs, or behaviors in order to share information. It can also refer to a system of symbols, signs, or behaviors that people use to communicate with one another. Communication is consistently cited as a critical component of project success. Inform the team, leadership, and stakeholders about the project's progress and problems. It offers a starting point from which the proper checkpoints or tasks can be added to the project management plan.
2)Impact:This sentence comes after the Project Charter's section under "Impact on Organization." The project's planning process needs to consider the effects on the organization. They might not represent hazards specific to the project, but they nevertheless have the potential to affect how well it is carried out.
3)A project: is a time- and effort-intensive undertaking, according to the Collins English Dictionary. An individual or group organization that is meticulously planned to achieve a specific goal is another definition of Google.
4) Team: In a project, a team is described as "an interdependent group of persons who collaborate to achieve a common objective and who share responsibility for certain organizational results." A team, as defined by the dictionary, is a collection of Indi duals who collaborate to do tasks swiftly and effectively.
5) Success: Depending on the source, "on time, within budget, to specification" completion, "success of the product created," or "success in meeting the business objectives of the project" are all used to describe project success. Project success is the maximum level attained at any point in reflection using this framework
CHAPTER 2
LITERATURE REVIEW
2.1 Introduction
The chapter will detail about the research gaps of following different sub topics like team performance, the positive team communication, trust building, capacity building, and importance of communication for projects, etc.
2.2 Team Communication Impact in a Project
Different studies and literature reviews were written on the positive team communication impact on project success. These reviews indicate that it has influences in different aspects like team building, follow of communication and information and trust building. Projects are temporary endeavor of any organization that is intended to attain any specific goal and objective.
According to Project Management Institute (2013), projects have two distinctive characteristics, that projects are temporary in nature and have a fixed or predicated period of time with having new and unique set of objectives to achieve. Time, budget and performance are the main criteria upon which project management success is relay. Project is considered to be successful if it meets the requirement and perform accordingly
to get success (Avots & Atkinson, 1969;1999).In the project environment operations of a project teams become highly competitive, team members have to meet deadlines and manages different tasks or project at the same time. Project success is a much broader concept, many factors play significant role in project success (Serrador & Turner, 2015). With many factors influencing the success of a project; leadership, teamwork as team collaboration and communication, are associated to project success (Yanga, 2011) .
Projects are of different types; complexity, uniqueness success and size of a project vary from project to project (Muller & Turner, 2007).Moreover (Meng and Boyd, 2017) stated that project success is concluded differently by stakeholders and individuals. (Majeed, 2020). Teamwork is a feature of the construction sector, where construction tasks are distributed by several professionals as a team, according to a previous literature analysis by Sadi Asaf, Mohammad A. Hassan, and Hafis Mughal. These experts include government planners, engineers, material suppliers, professionals, and architects (Chow et al., 2005,2009,2000). The relationship between active team dynamics and project performance has been the subject of extensive research. Perfect objectives are crucial to a project's success (Cooke-Devies, 2006).
According to (Parker, 2008), the scope of the task is carried out considerably more effectively when goals are overtly stated and strongly presumpted, which enhances the chances that the project and the team will succeed. According to studies, effective leadership encourages collaboration to achieve project goals in challenging work circumstances by helping employees accept the need to change or alter their behavior (Keller, 1992,2010,2010).
Project success also depends on being flawless, understandable, and allocating personnel to their areas of expertise (Pratt, 2010; Camilleri, 2011). Effective teams, according to Clements (2011), have high levels of cooperation, trust, openness, timely effective communication, and ethical behavior. The success of the project depends on all of the qualities described above. Previous research in the area of collaboration with positive communication revealed that the success of a project is greatly influenced by proper management of internal conflicts, efficient communication, identifying and agreeing on logical goals, and developing a healthy trusting environment within the team (Kerzner and Saladis).
Project performance has a strong correlation with effective communication ( (Rad and Levin, Williams, Clutterbuck, & Hernon and Rossiter). According to (Kerzner, 2013), poor communication contributes to low motivation levels, a decline in team spirit, poorly defined goals, poor project control, harmonization, and workflow, all of which are major roadblocks to the formation of effective teams. Following a review of the literature on the knowledge, competence, and capability required for collaboration, Stevens and Campion (1994) came to the conclusion that strong interpersonal bonds, team initiative approaches, team communication, morality, admiration, belief, directness, and collaborative behavior, as well as a cooperative attitude among team members, are particularly alluring and distinctive factors linked to effective team performance. A team's coordination is more stable when it has a solid structure and well-defined roles (Choi & Molleman et al., 2004).
After examining the data of 145 teams that were specifically focused on software development, Parboteeah (2003) concluded that effective teams are those that have good synchronization and an open flow of pertinent information throughout the work. When team members interact honestly with one another, conflicts are reduced and mutual understanding is increased ( (Ensley et al., 2000). When judgments are made regularly, team performance is improved (Bettenhausen & Jackson et al., 1991;2003). According to (Hartenian, 2003), cooperative teams are more likely to successfully complete their assigned tasks. The study came to the conclusion that teams with conflict resolution training performed well at resolving disputes, deciding on goals, and conducting proper planning. In regard to their positive communication. In the research study, they used survey and two questionnaire methods, in the findings they came to known that positive team work and of course better communication is the best element which plays significant role in every project success.
Similar study carried out earlier by Hassan M. Abu Elanain has expanded and examined that team communication as a mediator for project success factor relations, the study employed a series of confirmatory factor analysis to test measurement models, and structural equation modeling to test project success factor, in the findings, the researcher came familiar with positive and effective team working together with good communication is the most outstanding factor that plays significant role in project success. The research was conducted on 1 August 2015. (Papathanasio, 2013) advised for supporting project quality assistance, appraising project information and communication.
The focus of the measures can be divided into three categories based on the group interaction literature: performance, measurement, preference, and other considerations. The importance of communication, such as trust, certainty, and collaborative risk management in achieving project success, is highlighted by (Nangoli, 2012), (al. S. e., 2012), (al. H. e., 2004), (al. O. e., 2011), (al. I. e., 2010), and (Doloi, 2009). (DTF, 2006). Communication preference: To account for the process of communications between the team leader and members and how it affects the process and outcomes, (Chi, 2012), (al. T. e., 2012), (Henderson, 2008), (Spitzberg's, 1987), (al. C. e., 2012), (Gemuenden, 2001), (Mayfield, 2009), and (Liang and Picken, 2011) were proposed (al. D. V., 2010).
Other communication influences, according to (al. Y. e., 2013; Abu- Elsamen et al, 2011), suggest measuring a specific process or group as a part of the impact of the communication medium, such as (al. P.-R. e., 2013), assessed Pediatric Resuscitation Communication Team Assessment (APRC-TA) in evaluating the effectiveness of trauma teams' communication during resuscitations. Positive team communication has a big impact on project success, according to the research of the aforementioned scholars.
Globally, communication is the sharing of information at the appropriate time for conducting business or dealing with day-to-day concerns between individuals, groups, and institutions. For the various facets of life as well as the growth and execution of the various human activities, communication is absolutely essential. As a result, efficient project coordination depends on participants' communication skills and their capacity to adapt their communication methods to the project at hand. Effective communication improves reputation and reduces costs (Paulus & Nijstad, 2003).
According to project owner studies of failures, near failures, and issues with recently completed projects, at least one in four of these issues are the consequence of inadequate team collaboration or communication (American Society of Civil Engineers Guide Book, 2000). The awareness of the inherent diversity among team members or partners is necessary for effective project communication (Northouse, 2004). Project managers must recognize and account for the individual differences of the project participants in order for coordination and communication to be successful (Zakaria, 2012).
Everyone involved in a project must be able to communicate with the project's leader. Having the ability to negotiate when things are not going as well as they could also indicates having this ability. The audience with which a project leader is communicating about project-related issues should be taken into consideration. It is also crucial that the project managers and communication team understand how to effectively communicate with their target audience by choosing the best channels and crafting messages that are both clear and succinct.
The project manager must convey the right message to the right audience at the appropriate moment in order to effectively communicate. The project manager can list the communication stakeholders, determine their information needs, and develop a thorough schedule for promptly providing them with project information using a variety of templates and methods. He or she needs to establish a communication plan, which entails strategizing about how to reach out to all project stakeholders (P., 2007). Every institution, business, organization, or project must achieve its essential occupational goals through good project implementation. The greatest way to describe a team's ability and the procedures they follo in a project is to use their performance.
According to Henderson and Walkinshaw's (2002) research, it is clear that success is directly related to achieving the objectives, milestones, and goals that are justified by the requirements of the stakeholders or the context. Performance, on the other hand, strictly relates to how well the task and activities of the teamwork are carried out. Competent and well-talented project team with positive communication promise a perfect and on-time conclusion of projects assigned them to work on. There is more than one way in which a team can effectively communicate and generate feedback that will be usable in the organization.
1)Verbal Communication:Verbal communication is the most important point of interaction between team members.
2)Nonverbal Communication:Nonverbal communicationincludes things like body language, facial expressions, and tone of voice. cues.
3)Written Communication:You can easily control how you communicate through writing.
4)Visual Communication:The benefit of visuals is that you have time to think before you present your message to others.
5)Listening:Listening is how you receive information when others speak to you. Active listening , in particular, creates a healthy work environment.
2.3 Team Performance
A successful project implementation is the crucial occupational goals of every institution, company, organization or project. The best way to describe a team's capability and the procedures it follows is to use the word performance. It is clear from Henderson and Walkinshaw's research (2002) that success explicitly pertains to the accomplishment of the objectives, milestones, and goals as justified by the requirements of the stakeholders or the context. Performance, on the other hand, is rigorously defined as how well the team's tasks and activities are carried out. Competent and well-talented project team with positive communication promise a perfect and on-time conclusion of projects assigned them to work on. This promises organizations to get more projects, earn more income by not recruiting many employees.
Research cleared indicates that human resources management brings about the success of organist ions and projects more than technical issues do (Scott-Young and Samson, 2004), regardless, these findings, poor performance is the only pillar which can bring about program and project failures so the question is, ‘What is team performance? How can it be measured? And how does team performance impact on project success? According to Verma (1997), the other most important question is that how can team performance, trust and collaboration between them can be built?
Operating in the 21st century, managers of different kind of projects meet some challenges of working in a project environment branded by extraordinary stages of ambiguity, teams with different cultures, and global competition. Team members in every project always consist of individuals from diverse corporate functions and these teams always look for or strive to integrate their variance expertise in order to succeed projective objectives, vision, mission and goals.
Therefore, positive team communication is the most invaluable factor that plays significant role in team performance which can lead to attain final objective and goals of the project which in other words is meant to end the project activities successfully. A pure comprehension of human aspect in project management and its actual use are compulsory to motivate project stakeholders to work together to attain project objectives Team trust, collaboration and execution of activities is always said to be the other elements in a team apart from individual skills that people bring to the work. And these elements include: -
v A precise and common goal
v Competence
v Supportive structure
v Commitment/Accountability and
v Selfless contributions and mutual benefit.
v Positive team communication
v Trusts
v Collaboration
v Cohesiveness
The criterion for measuring team performance might be based on the application of quantitative measurements that offer details on the key elements of the team's activity. Despite the fact that assessing intangibles and non-financial performance indicators can be exceedingly difficult, doing so is essential for a project's success. A framework for examining team effectiveness was developed more than 40 years ago by McGrath (McGrath, 1964). These include team member traits at the individual and team level, such as personalities and competencies, as well as organizational and contextual elements (e.g., organizational design features, environmental complexity). Team procedures, which define member interactions focused on task completion, are driven by these multiple antecedents working together.
Generally, for what so ever it takes, well-experienced project managers try to be in a very jostle to build up team in many areas, particularly sharing positive attitudes and communications, whenever, the team collaborate, trust each other, come up with positive team communication methods, it is then inevitable that project activities will end in success which is the only sticking point that many organizations and project lack today including those humanitarian organizations operating in Somalia, especially those working in Mogadishu, the capital city of Somalia.
2.4 Types of Teams
Teams can be categorized based on a variety of actions. Some researchers define teams in terms of or in accordance with their objectives. Teams can be categorized as functional, problem-solving, self-managed, or cross-functional by (Robbins and De Cenzo, 1998); all of these teams play a vital part in project communication activities to foster a positive communication environment that inevitably can lead to project success.
2.4.1 Functional Teams
They always consist of manager and their employees. Most important duty or task of is to increase and polish up anything that matters organization or a project task, teams can also work on resolving specific problems or challenges or to unravel specific difficulties within the certain component.
2.4.2 Problem-Solving
Groups are prepared into 5 to 12 hour-working personnel within one subdivision. They usually strive methods of adding up the value, output, proficiency, communication and work atmosphere. The unique of the greatest used method during 1980s is “Quality Circles”.
In this method, approximately ten employees come across regularly to speak about feature complications, anticipate figuring them out, probe, and lastly, they succeed accurate outcomes which are the product of their qualitative findings.
2.4.3 Self-Managed Teams
Those must be only staff who don’t have any manager and always are accountable any organization, program or project absolute workflow which lets of getting final product, services, report or information in order to satisfy customers, clients or all sorts of stakeholders. Xerox, GM, and Hewlett-Packard are just a handful of the several businesses that have used self-managed work teams.
2.4.4 Cross-Functional Teams
These are made up of employees with comparable levels of status who are assigned to various work zones within a program, project, or organization. They work together to complete predetermined duties. Recently, several businesses, primarily automakers like Toyota, Chrysler, Nissan, General Motors, Ford, Honda, and BMW, have established cross-functional teams to manage challenging projects on a global scale. Cross-functional teams are also effective in exchanging information, coming up with new ideas, solving problems, and carrying out difficult tasks. Since each team member has a separate area of expertise, cross-functional teams are where creativity and diversity are most often met. These teams are therefore difficult to manage. With diversity, it would be simple to turn this challenge into an asset. A team's diversity can aid in producing distinctive or imaginative outcomes of effective team communication to effectively complete projects.
2.5 Communication Role in Project Success
Positive communication is crucial factor for the project success as this building the trust and the confidence between the different stakeholders at different levels of the project. Some of the stakeholders are directly involved the direct implementation of day-to-day activities of the projects. And these a kind of communication that fits to their needs about the project while other stakeholders are not close to project sites and the direct implementation of the day-to-day activities of the project. These also need sort of communication that might help them feel that they are very close to the project. In this perspective, the communication is as a crucial and important role for project success. The positive communication improves roles of communication in project success.
Project success has been linked to the importance of communication. Therefore, its management is regarded by the project's stakeholders at all levels as a tactical tool that may result in success. In 2013 (Aiyewalehinmi), demonstrates how information flow between management and employees, both in terms of quantity and quality, directly affects communication. Building relationships, transforming unfavorable impressions, boosting employee morale, and increasing employee engagement all contribute to increased productivity. The project's major players who are in charge of communication are crucial (Osman, 2011) reveals how communication is essential for project success, particularly among stakeholders because it frequently depends on cross-team collaboration. Examples of possible failures include communication boundaries.
According to Adedapo (2009), ineffective communication leads to low productivity and ineffective resource management. A Holmes report (Grossman, 2011) explains how a failure to communicate clear and understandable strategies and processes, such as procedures and practices, that engage personnel in shared goals, may lead to cost uncertainty, escalating budgets, and possibly project cancellation (J.N., 2016). Because of its contribution to follow to information on project issues to all clients and stakeholders timely and its feed of more information and knowledge about the projects to stakeholders, the communication has significance for the projects and project success.
On the other hand, a communication is drawing closer and creating understanding between project stakeholders who are sometimes distant from each other. Studies show that communication has generally been seen as important to projects. According to the study, communication is a key factor in bridging the gap between individuals, ideas, and the information needed by parties engaged throughout a project. Garbarran et al. (2004) revealed that communication guides and involves people in decision-making to ensure the success of a project. A project's quality and efficacy of communication, according to Naqvi et al. (2011), is a fundamental requirement. Because communication quality has a significant impact on the effectiveness and efficiency of the construction process, it is crucial to improve communication in these projects. The purpose of communication management, according to (Gouder, 2010), is to guarantee the timely and suitable collection, storage, distribution, and creation of project information for project success.
The growth of project administration in the construction sector has been sparked by communication management. Dombai (1999) goes on to say that communication should be the focal point of a well-planned strategic approach to diversity management because it has been acknowledged as a new approach to the analysis of communication competence of businesses and situations that develop new interactive forms that manage information flow both inside and outside an organization. Therefore, it is important to recognize that communication plays a crucial role throughout all phases of construction, including design, production, organization, and management (N.M., 2016). For instance, communication barriers may lead to unforeseen failures. According to Adedapo (2009), ineffective communication leads to ineffective resource management and low production. According to a Holmes report (Grossman, 2011), inability to communicate clear and understandable strategies and processes, including as procedures and practices, may lead to cost uncertainty, escalating budgets, and even project cancellation (J.N., 2016).
2.6 Trust Building
Trust building is very important aspect for the success of the different project in different nature as this is increasing the trust and the confidence between the different stakeholders at different level of the project who play also different roles in the project stages and cycles. Some of the stakeholders are distant form the project area and activities and some other are close to the project areas and every stakeholder needs to a level of trust that can still keep in the involvement of the project; this then make very important smooth follow of information in line with the project. It is not unusual that different groups of with different backgrounds come together in working together only for sole purpose of implementing projects successfully. Then trust building through effective communication and better management of communication is in high need.
Different groups operate and communicate in various ways. It's likely that what works for the programming team won't work for the design team. The same is likely true for mid-level managers: what works for the design team generally won't work for them. The project team cannot therefore expect to collaborate with stakeholder groups in the same manner that they do internally. To effectively communicate with and cooperate with multiple stakeholder groups, a wide range of tactics will be required, which may need the project team to adapt their own working methods. For instance, a communication strategy that only uses channels of communication that are effective for the project team, like a blog or email, may not be culturally acceptable to others. If the project team fails to take this into consideration, communication will ultimately fail (Cervone, 2014).
The many project stakeholders must be informed on what is happening, how things are developing, and how the project will affect them as work on the project advances. Although it is definitely appropriate to host an introductory meeting where high-level project information is shared with stakeholder groups, the actual time of group involvement will almost always vary during the project. It is erroneous to assume that everyone would recall what was said at a meeting that took place months, if not years, ago. The project team must think carefully about when to inform stakeholders when their involvement in a project changes. New stakeholder groups will soon be involved, therefore it's important to include them in the communication process early enough that they won't be caught off guard and can contribute effectively when needed.
Additionally, a project's communication requirements will evolve across its many phases. While there are no strict guidelines on how this shift happens, there are a few issues the project team should periodically review as it advances (Cervone, 2014). Again, the project leaders like the other project team need to build the trust between the different project stakeholders so that the project succeeds and so that he can better leadership during the different stages of the project. So, communication is very crucial his leadership and the project success which two related factors. The secret to being an effective project leader is using effective communication methods at each level of the project.
Therefore, communication, or more specifically, communication strategies at various project management stages, is a critical topic. The purpose of the thesis is to demonstrate the significance of communication in project management, which is very frequently underestimated due to its time commitment and ambiguous cost-effectiveness. This thesis explains the leadership and communication skills of the project manager as key success criteria in project management. The thesis seeks to highlight the various communication responsibilities played at various project stages as well as the need of having effective communication skills for project managers (Ngoc, 2019).
2.7 Communication Context in a Project
2.7.1 Communication and Project Success
Scholars have considered that project success depends on different factors recently. Those various features will be valid on all the project cycles or life and will also have impact on the success of the project but still rate of project success is tentative (Joslin & Mu¨ller, 2016). There must be diverse approaches that project success can be assessed with the regards of different employees. Leaders or project managers concentrate on anticipating three ways of constrictions, among the constrictions are cost, time, and schedule in order to succeed in a project. As it is deliberated that accomplishment of a project relies on massive number of issues, that might simply touch the project performance inversely and having diverse influence on project success as well, because of the variance in impact and influence, all the factors can never be similarly imperative (Todorovi´c, 2015). Necessities and outlook’s criteria structure or set the Success of project whereas contentment also takes a dynamic role.
Project success is not only assuring the scale of time, cost and schedule several other factors mainly “Quality”, drives the project success. Success is defined the height of competence or in other words the level of accomplishment of the objectives followed by the fact that how those objectives will be realized (Baccarini, 1999). Vision, mission, and goals of projects usually measure the project success. A project is successful when it attains its goals. Whereas, success factors are those factors which are directly or indirectly had impact on the success of a project (Davies, 2002).
Regarding this modern era, there must be inventions and swift growth in the projects in order to contribute the new changes in this complex, developing and viable market and real association is essential between project team members to face the rising market developments. Only collaborative and properly-arranged teams with enhanced positive communication can achieve project success. (Pinto and Pinto, 1990) Communication can be also accounted for swapping of information, opinions, perceptions and feelings, verbal and verbal exchange of communication can also happen in the project team, the effectiveness of communication channels between the teams of the team members demonstrates the effectiveness of the team performance and collaboration of the team (O’Daniel & Rosenstein, 2008).
Communication takes an outstanding position in arranging and organizing the project team, it also diminishes dissimilarities of members in the same project (Aga et al., 2016). Adding to and develop the enactment of project team communication should be actual, Receiver and sender of a message must be done in way that they can understand and interpret regarding communication theory so they can make up their minds commonly. (Harris & Sherblom, 2018). The only phenomena which can allow or give channels where information among project members can be provided must be communication within the project whether they are verbal or non-verbal, the constant communication and smooth of follow of information comes into place accurately then every project activity ends in success (Patrashkova, 2003).
2.7.2 Communication and Technology
The most suitable technology and system can really take crucial role in improving communication with in every team working in a company of project efficiently which can really be driving wheel of every project success, this has also been explored in prior studies by (Culo et al., 2010), his study had revealed that appropriate technology or system’s application can increase communication. The researchers discourse that proper systems and technology should be installed or applied in every organization or project operations.
Perumal et al., (2011) appraised the use of appropriate systems assists employees and other stakeholders including funders and beneficiaries plus employees and employers in organizations to communicate effectively, internally and externally, in order to enhance communication activities within the organization. This has also been investigated in previous studies by (Culo et al., 2010). His study had revealed that appropriate technology or system's application can increase communication. The most suitable technology and system can really take crucial role in improving communication with in every team working in a company of project efficiently, which can really be driving wheel of every project success. The researchers argue that appropriate technology and processes should be implemented or used in every company or endeavor. In order to improve communication activities within the organization, Perumal et al. (2011) evaluated how the use of appropriate systems helps employees and other stakeholders, such as funders and beneficiaries as well as employees and employers, to communicate effectively both internally and externally.
Additionally, Cheng et al. (2004) indicate that using computers is an additional efficient approach to communicate in addition to using traditional techniques. Pirtroforte (2010) supported governance and engagement among project participants, focusing on new information technology that should go beyond ensuring contractual compliance to promote communication and interaction. Meid (2015) underlines that a society that lags behind in technological development will be marginalized and excluded from the activity of the global economy. As a result, the study has proven that systems and technology have an advantage when it comes to project success.
2.7.3 Communication Skills and Competence
Communication abilities can have a significant impact on the success of a project's communication management. To make sure that the planned communication methods are compatible with the knowledge and know-how of the project participants, Culo et al. (2010) suggested that extensive and wide-ranging trainings and learning be undertaken. However, numerous other and earlier studies, showed that verbal, writing, and contractual abilities all hold about equal importance. Johnson's (2011) earlier study has shown the significance of communication skills in establishing job security.
Many authors and researchers have acknowledged the important role that communication competence and skills play in successful project communication. As a result, Garen (2012) reasoned that a bad communicator would either have their message questioned, missed, or entirely ignored. According to Garen (2012), (Hussain Barakat, 2009) proposed that effective communication is key to achieving a group goal. Davis (2002) concurs that people, not systems or processes, are what actually carry out projects. A related study by Welch (2015) made a strong case for the need for internal communication practices to acquire specialized knowledge and abilities in order to fulfill the needs of various internal audiences and contribute to the success of the business. Therefore, communication competency or abilities have a beneficial impact on project success, according to all preview research.
2.7.4 Communication Strategy
Several early studies had been done to state that communication management impacts a project. A pure and concise communication plan communicates how the activities of every project flow into and out of the project. The previous study of (Aiyewalehinmi, 2013) put its focus on the lines of powers and policy employment, considered as communication policy. Regarding to another research conducted by (al. G. e., (2012)) stressed that a detailed communication plan is further endorsed as being essential for the effective dissemination of information. Meid (2015) emphasizes that by implementing a communication plan and encouraging a culture of open and honest communication, the organization can expect improvement in the organization. Therefore, the findings of the research concisely declared that a communication plan has a positive influence on the success of the project
2.7.5 Building Collaboration and Teamwork
The literature review conducted by (Cheng et al, 2004) explains that teamwork enables operative communication and co-ordination. The researcher also has shown that motivation schemes and team-building activities are two factors that unite a two-way communication system. Aiyewalehinmi (2013) recommends social associations and functionality with the communication between management and employees – as being actual in communication, and inspires employee input. (Naqvi et al., (2011)) investigates that team management and the procedures that start to produce in time affect the project’s outcome positively. Therefore, this study showed that group effort and teamwork have a positive influence on project success.
2.7.6 Efficiency in Communication
Effective communication is essential for employees to perform their tasks. It is a practice in which management functions like planning; organizing, directing and controlling are accomplished. What the management concentrates is all about getting things done through others; it must be an activity or obligations that unvaryingly involve that managers must communicate with other people. Everything a manager does should involve communication.
In order for organization to gain economic benefits, managers must do their best to raise proficiency, value and responsiveness to customers and motivation. Therefore, smart communication is a vital for achieving each of these four goals and this is a necessary for gaining a competing advantage. Abdi (2000). Efficiency is increased by updating productivity process to take advantage of new and more different technologies by training workers to operate with the new technologies and expand their skills. Operational communication is indispensable for managers and learners about new technologies implement them in their organizations and train workers in how to use them.
Similarly improving quality hinges in affective communication. Gareth (2002). Gomez (2001), says that, good communication may also be tough assistance to increase receptiveness to customers. When the organization members who are close to customers such as sales in department stores and tellers in banks are empowered to communicate to customers' needs and desires to management, in turn must communicate with other organizational members of changing customer preferences. Gareth (2000), revolution which often occurs in cross purposeful team orchestrating a new kind of new program must effectively communicate with each other and develop the program in a way that customers will admire. Communication allows the organization to organize their different sections and that is through giving direction, instruction on how activities are supposed to be conducted and when different origination departments are corresponding, performance will be conserved and enhanced and wastage will be slight.
2.7.7 Characteristics of Effective Teams
Team communication is the process through which information is passed from one person to another. Since teams collaborate to accomplish project objectives, effective communication is crucial to project management, according to Love, P.E., Irani, Z., Li, H., Cheng, E.W., and Tse. According to prior research on a communication in hybrid arrangement, case of Australian construction project teams, which was investigated by Hosseini, M.R.R.; Zavadskas, E.K.; Xia, B.; Chileshe, N.; Mills, construction teams need to have good communication strategies due to the temporary and fragmented nature of the construction industry. According to earlier research by Lam, M.C., Yiu, T.W., and Cheung, S.O., communication has been separated into formal and informal communication. The ability to communicate and both of these are required for a project to be effective. For clients to receive high-quality goods and services, effective teams are required. The related literature has a large number of studies on the effectiveness of teams.
According to Johnson and Johnson (1994), the effectiveness of teams depends on more than just the technical expertise and task-specific skills of the team members. For a team to be productive, its members must acknowledge their strong positive interdependence, work together to support one another's success and well-being, take personal responsibility for their actions, utilize their small-team skills, and analyze how well the team has been performing. Reid (1998) asserts that the following traits shared by high-achievement teams are apt to be stated as such:
i. There is a shared objective
ii. Team members' relationships are built on mutual respect and trust.
iii. Task and procedure are balanced
iv. Team members all patriciate in problem-solving and decision-making procedures
v. Everything is planned and time based
vi. All activities are carried out in accordance with the plan.
vii. Every member is unique; thus everyone should appreciate and understand one another.
viii. Synergy and dependency are valued.
ix. Team objectives are consistently emphasized and encouraged.
x. Individual accomplishments that benefit the team are rewarded
xi. Team members communicate well with one another.
xii. Effective dialogues are used to resolve group issues rather than debates
xiii. Different levels and intensities of work
xiv. The members maintain a balance between their job and personal lives.
xv. Regular and consistent criticism of their collective teamwork
xvi. The practice of continuous improvement is employed.
Wheelan (1999) identified ten crucial areas to which members of an effective collaborative team should pay attention.
v Goals
v Roles
v Interdependence
v Leadership
v Feedback and Communication
v Discussion, planning, and decision-making
v Implementation
v Collaboration and Conflict Resolution and assessment
v Norms and Personality Differences
Cenzo, (1998) lists the following traits as crucial elements of a successful team:
Being aware of their objectives clearly
Compelling participants with essential technical competencies
Displaying a high level of mutual faith in the morals and integrity of their participants
Sharing a common commitment to the team's objectives
Having effective communication channels
Having strong negotiation abilities
Displaying strong leadership
Having a team that is internally composed.
Environmentally hospitable environments
Europe Japan Centre (2000) suggests that the standards that effective teams must adhere to can be divided into two groups: features and prerequisites. Prerequisites are given by those outside of the team, such as the people who put the team together or the people to whom the team reports. Successful teams have a clear understanding of their goals, ultimate destination, star power, and significance as it relates to the organization's committed plans. Empowerment is a crucial component of preconditions. They make their own decisions about their future. Teams must have the backing of their employer or the person to whom they report.
Additionally, effective teams turn their objectives into quantifiable targets and actions. Each member is aware of, agrees with, and supports these goals. Similar to the other category, characteristics, which describes the qualities successful teams should possess; In order for team members to respect each other's thoughts and be exposed to each other's viewpoints, interpersonal skills are crucial. Conflicts that are ineffective do not occur. Members' contributions are a crucial component of effective teams. People exchange ideas, opinions, time, and resources.
Decision making is also an important factor of characteristic of all effectively coordinated management systems. Decisions are reached before appropriate assessment is done, analyzing, and with gathering true information. So, in my opinion as a writer of this study “Positive Team Communication Impact on Project Success”, effective team can really play significant role in achieving final goal of every project or company’s activities. The team members are constantly looking for fresh perspectives, cutting-edge technology, and more effective methods of doing things. One offers a suggestion, the other expands on it, and so on. Successful teams must know how to handle ancillary situations. Interactions between team members and non-team members. These might be staff members from different departments. They are able to exchange information with them and get information from them.
2.8 Impact of Communication on Project Success
Team communication is generally argued in the literature as it takes a significant role in the attainment and goal achievement of a project regarding previous study carried out by Williams, T. Identifying. With the progress of time, project success has become hard to attain, and the impact of communication on project success demands attention another earlier conduct study by Williams, T. Identifying investigated that team communication management is of great importance in the field of project management. The authors of Ofori, D.F. and Shohet, I.M.; Laufer, A. have also put great emphasis on communication among individuals and teams, since it meaningfully has emotional impact on the project.
There are three dimensions used in the literature to measure communication, i.e., formal communication, informal communication and willingness to communicate. Formal communication includes meetings, document sharing, etc., and barriers among team members are not removed by this form of communication according to studies carried out by Ding, Z.; Ng, F.; Cai, Q. On the other hand, by the help of informal communication, people tend to know each other’s culture, habits, and skills, therefore, conflicts are resolved, and project success is achieved, willingness to communicate increases information sharing among teams and, hence, facilitates project success. This study hypothesized that:
Ø There exists a relationship between formal communication and project success.
Ø There exists a relationship between informal communication and project success.
Ø There exists a relationship between communication willingness and project success.
2.9 Advantage of Teamwork
Teamwork is more common in businesses, organizations, and projects nowadays. Its advantages are acknowledged yearly. One benefit of teamwork is the increase in quality, productivity, and ease of problem-solving. The benefits of teamwork are listed as its qualities in the literature collectively.
Teams improve abilities, communication, contribution, and efficiency, according to Mears (1994). Enhancing abilities results in more aptitude, power, and expertise as well as the establishment of technical competence. The growth of communication has an impact on mutual respect, departmental lines that are straight and cross, and more ideas. The benefits of teams, according to Robbins and Finley (1995), can be summed up as follows:
(i) Why Teams Increase Productivity: Because team members are closer to the action and the client, they can identify issues and discover solutions more quickly than management. Teams are aware of practical ways to increase productivity as a result.
(ii) Teams Improve Communication: Because team members are accountable for or makers of their own success, they interact with one another to share information and assign tasks.
(iii) Teams Can Complete Tasks That Ordinary Groups Cannot: A team is better than an individual or a group of people working in the same discipline because, when faced with a multifaceted task, people from other disciplines pool their expertise and come to an understanding.
(iv) Teams Utilize the Most Crucial Resource, "Brain," More Effectively: Members think of ideas "just in time." There is no waste because every idea is thoroughly considered.
(v) Teams are Better at Problem-Solving: because they are more customer-focused and adept at combining different viewpoints. Teams are also more resourceful and proficient. They are more knowledgeable than the organizational hierarchy, to sum up. They are therefore more creative and efficient.
(vi) Teams Result in Higher-Quality Decisions: because knowledgeable leaders make wise decisions. Sharing knowledge helps generate creative ideas. In order to make decisions of higher quality, leadership is distributed.
(vii) Teams Result in Higher-Quality Products and Services: Quality circles, which are an early manifestation of the concept discussed in the preceding sections, aid in igniting new thoughts and vigor among individuals to polish quality. With regard to this problem, information is enhanced within the context of teams and is utilized for ongoing progress.
(viii) Teams Result in Better Processes: Functions take place before processes. Before any functions participate in a process, teams are aware of all the potentials that can arise. As a result, teamwork improves procedures more effectively.
(ix) Teams Differentiate While Integrating: Typically, teams strive to reduce their size but increase productivity. But occasionally, downsizing causes organizational fragmentation. Teams enable businesses to bring together individuals with various types of skills.
This study investigates how national and international non-governmental organizations develop collaboration team, enhance the trust between or within the individuals who have diverse cultures working in the same team of an organization or working in a project, the study also torches its light on how the organizations anticipate getting positive team communication which can really strong positive and negative impact that can play significant role in the project failure or success. The researches will also examine how positive team communication can have a big role in project success as you can determine the title of the study which is “Positive Team Communication impact to Project Success”.
2.10 Conceptual Frame Work
the study focuses on the effect of team work and communication on the projects\ success. In my opinion as the researcher of this study, both budget and team work are the wheels for the projects’ success unless these two pillars and so many others there can’t be successful project.
CHAPTER 3
REAEARCH METHODOLOGY
3.1 Research Design
The research design has always been a cross-sectional survey that uses qualitative approaches for research studies. Survey is usually adapted to current or present methodology and used to explore population by selecting samples to study and learn more about occurrences. Its main purposes must be giving numeric reports of some part of the population and to describe and account for events as they are, as they were, or as they will
be (Oso & Onen, 2008). I selected it due to it is fast data collection process, economy of design, and ability to understand a population from part of it. I also picked it up because of its suitability for extensive research.
The researcher selected an approach or method that can help smooth researching. The researcher used quantitative method. This was done for both descriptive and explanatory method of researching for data collection and analyzing.
3.2 Sample Size and Target Population
The target population comprised people with different job titles and responsibilities, but all were under our requirements for the selecting respondents who included governmental and non-governmental organizations workers mostly the telecommunication companies, instructors and scholars. Since the target population was more than 300 persons, a total sample size of 152 was considered sufficient to generate the required information.
3.3 Sampling Technique
We used purposive sampling to our target population. The respondents from our target population answered to our online questionnaires. The respondents can be representative because they can from different sectors like governmental or non-governmental organization operations in Mogadishu, capital city of Somalia and on its outskirts. The researcher of the studied the title of “positive team communication impact on the project success: in Mogadishu, Somalia. We developed an online questionnaire as our research tool and distributed to our respondents through WhatsApp. This instrument simplified to the researcher to collect data also it simplified to the respondents to respond the questions in an easy way.
3.4 Reliability
The data we published in this book is more reliable one b/c we took it from the concerned parts and reliable sources as we concentrated to ensure the responses in strictly way
3.5 Validity
This study declares that basic pillars for project success in terms of time and budget wisely usage. The results are applicable to any area concerned this topic
3.6 Pilot Testing
Pilot testing is a rehearsal of your research study, allowing you to test your research approach with a small number of test participants before you conduct your main study, so we used some of our target population and sample.
3.7 Data Collection Method
A semi-structured questionnaire was main method of data collecting tool because it is crucial for gathering information from survey participants. In order to get information from the various groups or target groups participating in communication, teamwork, and working in aid and relief organizations in Mogadishu, the researcher will be employing or focusing on using semi-structured questionnaires.
3.8 Data Analysis and Interpretation
After data collection, the data were classified. organized, analyzed by using SPSS software and edited. Then, the interpreted data were summarized quantitatively with percentages and frequency distribution. The data were documented in form of tables, charts and figures. Data analyzed and processed through statistical package for social scientists (SPSS) is understandable and presentable format.
CHAPTER 4
DATA ANALYSIS AND RESULTS
4.1 Introduction
In this chapter four, we displayed on data that mainly primary data in which we collected analyzed and interpreted automatically. During our data collection, we distributed an online questionnaire to the all respondents to elicit the required responses, we took them as sample and analyzed through SPSS software. After analyzed, we put forward the result in all tubular form, chart form and written text (explanation statement). The following titles, texts and figures or charts are our research findings that were written.
4.2 Demographic Report
This survey exercise was conducted in considering various classes of respondents and in total 152 questionnaires were collected. They included governmental and non-governmental organizations workers mostly the telecommunication companies, instructors and scholars who provided sufficient backing for making the desired conclusions and recommendations (Table 1).
4.3 Data Reliability and Variability
To make sure that the data collected could be verified through replicated experiments, data for this study was examined for its validity and reliability. Cronbach's alpha was used to measure the internal consistency of the measures in the validity and reliability test. When the alpha level is higher than 0.65, a variable is dependable and indicates internal consistency (Hair et al., 2010). An alpha level 0f 0.789 and 0.823 was a sufficient evidence for reliable data in this study.
4.4 Positive Team Communication in the Project
During our research we asked our respondents to this question: Who is responsible to create a Positive Team Communication in the project? They answered in different but interrelated ways. As you can ready the below table almost all of our respondents said “it’s the manager who is responsible to create positive team communication among the project workers”. This shows that the basic skills and requirements for good project managers is included by having the ability to create and manage healthfully and good working conditions among the project employees.
Positive team communication stars from lay out a well- defined job hierarchy and clear job responsibilities for each employee in the project cycle/activities. The project manager has the duties of planning the time and cost for each phase of the project also to allocate each employee for defined work in defined time line, also he/she has the duties of matching each employee to his/her suitable position of work in the project activities.
Whenever there is positive team communication in the project, it like a car with full tank of petrol in an empty highway, means it will move as fast as the bullet speed. There are some basic strategies that help the continuation of positive team communication among project workers, these are included by
a)give the employees defined map and time for each task
b)paying their salaries and wages on time
c)giving in work trainings to increase their potentiality and work behaviors.
The pie chart below reveals the number of respondents pointing that the manager I of project must link the work/ project parts and b/w the workers as well.
4.5. Importance of Positive Team Communication
Every project has a team and tasks to do. If the way of doing a task and the finance are okay, there is no other remarkable obstacle that can challenge it. Good harmony among the employees has the following importance: -
The project will end on time without the need for extra cash to invest.
The employees finish the work in full confidence of their potential.
The team operating on that project will get good chance to market their company or personal names.
The employees will give oral advertisements to their project manage advertisements in his/her way of managing.
The team will get their contract money immediately after their finish of work.
The project investors will see the product of their money on the intended time.
During our research to this topic, we asked many people about importance of positive team communication for the project’s success. More than 70% answered that it is one of the basic pillars for project’s success after the investment money. The graphs and tables below illustrate it well.
Every work has a guideline to follow and ticks to use so as to overcome any potential challenges. So, if you use these ways of behaving or others, it may help you, as a project manager to work with your employees as good as possible.
During our research, we asked our respondents for the question “How can we improve the Positive Team Communication in projects’ employees?” they answered different but with one purpose so their tips and suggestions are concluded by as follows, also the researcher added some more articles to them: set your goals, do in-work trainings, clarify the duties of each, establish team rules and regulation, positive thinking, do not fight to your employees, time management, do not complain and reward your employees’ loyalty
4.7 Role of the Workers in Creating Positive Team
The main roles of employees in creating positive team wok is a great factor for the project success so to accomplish that, they have to play these roles: -
v To listen to the instructions from the project leader as they are and prepare to fulfill it honestly.
v To show happiness and good facial expression about their job collogues during and after working hours
v To mediate any conflict occurring among the employees or employees and project managers.
During our study to this topic, we asked our respondents “What is the role of the project workers for creating Positive Team Communication?” in the context of their varied
answers says “project worker must respect among them and be obedient to their project managers”. The bar chart below shows their answers in short form.
On the other hand, there are so many responsibilities for project workers other than those roles mentioned above. The project workers are responsible about these:
Keep the workplace’s health safety.
· To respect the duties of other worker in the same protect and not to use his name/position without his/her permission.
· To respect the work guidelines and time lines as contracted to them.
· Report any risky or problematic cases in the protect site to the employer or project manager to resolve it at early stage.
4.8. The Knowledge of Manager for a Project Success
There is no work that can come to the end with our good and professional leader. Knowledge is the fuel of any task so that there is a great and double great relationship b/w the project leader’s knowledge level about the matter and the project’s success chance. Technical skills for project leaders)required from anyone leading a project where small scale or large scale: -
(i) Planning of task, budget and non-human resources.
(ii) Management of time, investment money and human resource power and talents
(iii) Controlling and monitoring the activities to aware of any wrong cases occurring
(iv) Must have Leadership skills like chairing of weekly or monthly staff meeting
(v) Good Communication skills in both verbal and written is a key factor
(vi) Team Collaboration with a defined target.
(vii) Organizing the required equipment and tools in proper time
(viii) Must have Problem solving ability whether is financial or person to person conflicts
(ix) To have Adaptability to the changes occurring the project’s surrounding is very crucial.
4.9 Possible Solutions for Poor Team Communication
Whenever poor team work arises among the project workers, it is doubtless that the project was going to fail b/c it is the human being that are doing the task not the money and equipment. So, the common problems that results after weak or zero positive team work are:
Poor performance
Lack of trust from investors about your team.
Low dignity and income for the project implement organization or company about future contracts like this project since you lost your chance of marketing your company.
Employees will fire out / leave themselves and seek better company than that one
During our research we distributed an online questionnaire to many respondents of our target populations. One of those questions was “what are the affordable solutions for the problems resulted from poor positive team communication?” the respondents answered different but in shortly, more than 65% suggested to give training to the workers, to create strong communication way among the team and solve any misunderstanding among then by the project manager.
4.10 Project Implementation
Project implementation is the stage where visions and plans become reality. This means, it is the carrying out the real actions in your work plan. The main Advantages for implementing the project at early time are: -
It gives the opportunity to meet the required results
· It allows the end users to live better than before b/c of gaining solution of their problems
· It encourages others to adopt similar ways, so as to overcome other similar problems.
So as to reap the result of the implementation process, there must be positive team communication among the employees is an imperative aspect of project success. Because, the developing of a positive team communication among the employees is one of the primary tasks of a project director. In our research process we asked our respondents “did you take part project implementation process” they answered as follows: in 29 respondents 82% were took part a project implementation process, 7.1 % did not, while the rest percentages did not answer the question. The table 4.1 shows that our sample was a reliable one
4.11 Project Management
Project managementis the application of processes, methods, skills, knowledge and experience to achieve specific project objectives according to the project acceptance criteria within agreed parameters. In this process also, positive team work or communication is the backbone of smooth working. The importance of project management in organizations can’t be overstated. When it’s done right, it helps every part of the business run more smoothly.
The characteristic of good managed project are as follows:
Saves money and time Have clear benchmarks, road maps are targets in time based
· Have rigorous positive internal communication among workers.
· Keeps in control of moneys wastage through sophisticated accounting procedures
Has modern and continuous oversights.
In our research process we asked our respondents “did you manage a project before” they answered as follows: twenty-nine (29) respondents comprising 57% were managed before, 35.7% did not, while the rest percentages did not answer the enquire. This shows that our sample can be reliable.
During our data collection, we also asked them two other question that were:
v Is there any of your family members that have managed small project?
v Do you like to join project activities where the employees are making Positive Team Communication?
4.12 Manager’s Educational Level in Team Communication
Having a knowledge at level you can lead and guide many workers is a very required character from the successful project manager b/c so many different cultured workers with varied habits are waiting for his/her leading role. So, every project manager must acquire/get for these five key project management skills.
Effective communication skills
Time management skills
Essential skills for problem solving
Leadership diplomacy and skills
Budget and resource planning skills, including by human resources powers
These traits combined with a calm temperament, positive attitude and thinking habits, can lead to fruitful project. All in all, the educational level of the project manager has a great impact on all sectors or phases of the project according to our respondents. It is a well-known condition, that an if poor educated or bad behaved project manager lead a project, both the project and the workers will fall into dark ditch with no result at all.
We put forwarded an idea which is “Project Manager’s educational level can contribute to attaining of Positive Team Communication”. The answers given by our target populations are as follows: -
4.13 Effect of Poor Team Combinations
Poor team communication has a great effect on the project’s success or failure, whether it is governmental or no governmental one. Communication is the process of exchanging of information from one person or company to another. The real obstacle lies in the execution of the communication and how effective it can be for a certain work project, or company. Lack of communication is a major challenge or red flag in all companies, businesses, and organizations and governmental institutions. A lack of or poor team communication results to:
Major misunderstanding among the workers,
Reduces further investments b/c of poor performances of early tasks,
And finally, loss of revenue from the project
Employee mistrust and the feeling of dislike r among them increases
Strongly weak interpersonal relationship
Low morale and more physical absenteeism in workers
The main reasons that cause the failure of work projects are included by:
Lack of positive team communication
Poor or low division of labor
Office power struggling among junior and senior employees
Un satisfied workers b/c of low pay or strict rules from employer or project manager
The problems resulted from low communication and harmony among project workers comes into its’ highest peak, when the work of project goes to the bottom line and now it is the end of all chances to save the validity of the project, it is over, no time and resource to reuse
The effect poor communication to the effectiveness of the projects is the same whether it is governmental or non-governmental. During our research we asked to our respondents, about their opinions, on these two ideas: -
v Poor team communication has no effect on the project’s success
v Many governmental and non-governmental organizations fail due to poor team work and communications.
4.14 Knowledge of Workers to Their Field and Project Success
Knowledge is required for every task doing but that doesn’t mean that is all to get the success b/c there are other factors to consider in reaching success like planning, time management, budget allocation and human resource management. Knowledge alone, however, is not a key that opens up any opportunity. To attain the goal all, the workers with their manager must have definite works per week or month. In work and before work training are highly required for all employees to meet their required destinations in confident fully and talent full way.
Wisdom is the application of knowledge. Just because someone knows facts, details or information does not make them a leader or good project manager. All in all, no work without wise using of mind and money can get into success stage, and no work can be fruitful without full resources in work, every member of the team must do their role in skillful and accountable manner, after that the work structure will join together and produces an attractive and big image.
All in all, the educational level of employees can help to attain Positive Team Communication in the project. During our enquiries we asked our respondents to the educational level of employees can help to attain positive team communication in the project. Their answers were analyzed and changed into graphical method below.
4.15 Factors Influencing Attention of Project Stakeholders
Good collaborations between project team attracts the attention of project participants. A stakeholder is any person, group, or organization whose interests are affected by the success or failure of a project or business venture.
Stakeholders might be internal or external to the project and have an interest in its success. Stakeholders are important because they can have a positive or negative influence on the project with their decisions. The primary stakeholders in a typical corporation are its investors, employees, customers, suppliers and many more other parts. Engaging the attention of your stakeholders need tacti full and loyalty-based procedures, there are basic steps to follow when trying to attract the attention of your stakeholders and are:
To discover who are your stakeholders in your projects
To analyze their wants and dislikes
To plane the way that you can reach their satisfaction to your project
To fulfill your plane in logical and carefully way
To make reviews in three months about their attentions (like or dislike)
Make changes to your planes and operations whenever their demand and satisfaction changes into possible and affordable way.
During our enquires we asked our respondents to say their opinions about this idea which was good collaborations between project team plus their positive team communication attracts the attention of project stakeholders which can led the project end successfully. Their answers were analyzed and changed into graphical method, which we put forward in the below.
4.16 Determinants of the Project Success
Factors that can aid project success are more and many to concise in limited paragraphs, but if I pinpoint some of the major ones are included by: -
4.16.1 Method of Project Management
Every work or even project needs A specific and tactful way to do. Even the guideline s of the project with the main objectives to achieve plus wise full managing of time and resources through well-defined procedure, it sure to win the project Insha’Allah.
4.16.2 Planning Your Tasks Properly
Planning is key tool for managing any task from your house daily activity to national level tasks. Everyone who is good for planning is also a good leader b/c planning is the heart of all managerial tasks in all life aspects.
4.16.3 Having an Experiences Project Manager and Sub Team Leaders
The general manager plus sub team leaders has a big role in the success of the project. The greater the experiences of these authorities the greater the performance of project and answering the required objectives I on time and demand-based way.
4.16.4 Follow the Already Tested and Won Practices
Star a new way to follow is not an easy task, especially when you are using money from people wanting to get profit from it, so testing a new approach is not suitable in a project aiming at answering specific needs in community as well as profit yielding project. So, it is good for project managing team to choose which approach can help them to attain their written objectives.
4.16.5 Doing Good Monitoring and Control Over the Project Activities
Monitoring is the routine observation and documentation of project or program operations, whereas controlling is the process of ensuring that everything proceeds in accordance with the adopted plans, instructions, and guiding principles.
4.14.6 Work with Professional Software That Can Simplify the Task
Software are tools for work simplification they help the workers to do task in short time and in less energy. In this century there are more analyzing, interpretation and present in all soft form without writing or erasing something.
4.16.7 Effective and Positive Communication
Communication is the process by which ideas are transferred between people using a shared set of signs, symbols, or behaviors. Without it is like without blood vessel in our body is it possible to transport blood from heart body parts? The answer is no. similarly the information exchange in time helps the rapid solving of problems and finding solutions to major issues.
4.16.8 Managing the Risks Careful Way
As a project manager you will experience too many risks like security, financial shortage, resources misuses and project failure in some points all these risks and others are need managing.
4.16.9 Having Strong Team in a Project
Closure means to be aware of all the steps and stages of the project, this is the responsibility for the general manager as well as sub team leaders by ensuring that the objectives being fulfilled or not. During our enquires we asked our respondents to say their opinions about these three ideas that all were about finding the factors that can bring project success. The ideas were: -
· There is a good relationship between your project’s success and the good communication within the project employees.
· Only skilled team can create positive communication which can be the product of successful project end.
· Both team work and good communication play significant role in project success.
Their answers were analyzed and represented by tables below.
4.17 Components of Effective Project Team
There are four basic parts for effective team communication which include: -
a) Identifying Your Audiences or Consumers of the Products - Yourcustomers’ needs and concerns are the raw material of your project success. If the project answered the needs of the target customers or consumers that means the project had succeeded if not it did not too.
b) Hold a Successfully Kick off Meeting - Kick off meeting has many advantages like recalling your employees for the job descriptions that have already told to them, advising them to act responsibly and to offering them a reward of good performance to anyone did his/her duties exactly.
c) Establish a Meeting Frequency -Toassign days for meeting and evaluation are good criteria for the project control/c weekly meetings reduce time and resource wastage and promotes good harmony and objective keeping habits.
d) Communicating Through the Best Practices -Communicationroutes must be academic and respectfully whether verbal or written form b/c polite communication increases good team work also the hierarchy of communication and job diversity must keep in mind when doing communication.
On the other hand, the polite behaviors that enhance teamwork area are; asking the right questions to right person, listening with your eyes and ears and enthusiasm is important: Project communication is more than the manner, structure, and approach. It’s about developing trust, and trust can only be nurtured through effective communication. Best project teams are the ones who trust each other.
4.16 How to Improve Team Communication
There are six strategies and tips as shown in the figure below:
(i)Resolve Conflicts Quickly -When people are working together there can be some misunderstanding among g them besides every is striving to attain the project main objective. In this point it is the project manager’s responsibility to solve that dispute and mark the bonders for both parts in justice fully, unless the work will end into productive less.
(ii)Encourage Engagement -Engagement means allowing the employees to add or put forward their opinions and contributions to their sections since they are expertise in their designed sections.
(iii)Promote Bottom-up CommunicationEveryone must report any mistake or concern to their head department, but not to the general manager. Then head departments will in turn share that concern to the general manger and so on. This means communication must occur in line form but not in zigzag form
(iv)Strive for Transparency - Transparence means do the things and promise as they were to do without following wrong way. When the general manager does the things correct and honestly also the employees will do like that.
(v)Schedule One-On-One Meetings -Give time to meet and negotiate to all heads of departments, to anyone that have specific concerns in private means, and listen to the personal feeling of all staffs. this will let the managers to discover the hidden things in their work place and also to learn the different personalities in his projects
(vi)Provide Consistent Feedback – When you are a project manager, your main objectives that you have already stated to the employees and your day-to-day actions or even feedbacks must be in line with each other so that the worker will feel that you are objective one and that will help them to follow after you. To ensure this, try to use the expression “remember that our target was that we have to attain high communication standards.
4.17 Correlation Analysis
In our study we investigated the correlation b/w the main variables in the study, which are as independent variable (positive team communication) and dependent variable (project success) the result our study about these variables became that “there are positive correlation and signification relationship b/w them since more than 80% of our respondents answered there are relation b/w them.
Also during our study, we discovered the positive relationship b/w these sub part variables.
CHAPTER 5
DISCUSSION AND CONCLUSION
5.1 Summary of Main Findings
During our research we discovered that: -
o Team work habit in project is key factor for the project’s successes.
o The role of creating this team work habit is collective responsibility but specially for project manager to encourage and create a working environment that boosts positive team work among the workers.
o Educational level of project managers contributes positively to the success of project work as well as to solve the in-work conflicts between the employees.
o An experienced project manager makes positive team work easily and fights against any violations making by one employee to another.
o The governmental policies and regulations can impact the design and the location of the projects to implement, also some project will need an official permission from the concerned governmental part like town planning, population counting in big towns among others.
5.2 Discussion
Team work is an important element for the whole success of project b/c the work flow and quality will increase when every person does his/her work in step-by-step way. Project managers have the vital role and the greatest responsibility to create and encourage positive team work among employees, because workers that are not in good harmony never reaches their collective goal. Education is the light of life any manager that is ignorant is like a blind man leading other blind, they will both soon fall in the hole. So that, educational level of manager has a big impact in the quality of work and the level of good harmony among the workers. Because the honesty manager will keep his dignity and profession from black spots.
The governmental ministries and directors can influence some projects by the side of conducting because of the administrations’ policy to control and give permission for any project happening in their ruling areas. According to the past studies relating to this title, they said some but not as clear and clarified like this. In my opinion as the researcher of this study, I believe it will be the literature review for the future studies relating to this topic and it will attract the attention of the researchers, since we put it into allot of facts and analyzed data.
5.3 Research Implications
Every work consists of target point or work, human resources that do it, capital to use, materials that aid for the work and plane/frame map to flow. If the human resources are the appropriate ones for the work and finance is enough other factors will be ok too. All in all, whenever there is a good harmony or positive team work among the project workers, the greater the projects’ performance as well as the greater the resources utilization. Positive team communication is vital factor that can save time and energy b/c when part of the team does one task in today and not share with the next level workers, it may be possible that another team lose time for doing the same task by no knowing about the pervious teams’ performance, so communication is the pipe that connect the work flow. We faced so many problems including by
v Many of our target populations don’t get answers to our online questionnaires we sent to them for many reasons.
v Sometimes there can be fake responses or answers for imitations of others sayings only. But we managed to classify the un really and real ones.
v Sometimes there can be data in accessibility b/c of some of our target populations we busy for service provide to the community like NGO mangers and some
v experts, this took a lot of time to wait and call to them.
5.4 Conclusion
In conclusion, this research study has shown the significance of positive communication between a team working for the success in any project or organization , it also highlighted that leaders or managers of every project or organization have to anticipate and concentrate on building trust of the communication team in their organizations or projects, that is because communication is the backbone of organizations and projects which the managers can satisfy and convince the stakeholders whether they are in or outside the organizations or projects, companies or outside stakeholders by providing better information of the outcome of the projects and programs and their successful closure or end. Thus, any information or reports must be product of good communication between the team of a group of personnel or individuals working in the same organization, company or project. This study suggests the need for collaborative working spirits, innovative communication channels and inclusivity of everyone’s perspectives for project success in every organization.
5.5 Directions for Future Research
· In depth research for this title or research problem is recommended so as to be clearer then now.
· Investors must invest further projects of research for this title so as to cover any financial shortage in the process.
· I recommend to any researcher for this similar title, to distribute both hand to hand papers and an online questionnaire, so as to reach the maximum number from his/her target populations
