This report will outline the different project management methodologies employed and assess each project management tool's efficacy for this project.
This project presented a unique set of challenges to the GTP committee I chaired. The challenge came about die to the fact this competition was the first ever project that necessitated more focus on a daily basis since we were involved in the project’s lifetime, right from its conception, execution to completion. To add on the scope of works, our patron had urged us to design the event to enable for more engagement of the public, something that has never been done in the history of Let's Rock Climbing Competition. The following list comprises of several major issues that my team and I encountered, that had a significant influence on the success of our project: Managing the expectations of external stakeholders, completing activities within the period allotted determining the ultimate budget from both the customer and the sponsors.

Project Objectives and Key Topics
This report documents the end-to-end management of the "Let's Rock Climbing Competition," organized by students at the Guangdong Textile Polytechnic. The primary research goal is to analyze the efficacy of various project management tools—specifically the Quadruple Constraints, Agile methodologies, Communication Plans, and Risk Registers—in delivering a successful sports event while navigating challenges such as stakeholder expectations, budget constraints, and rigorous safety requirements.
- Application of project management theories in a student-led non-profit environment.
- Implementation of Agile methodology to accommodate changing project requirements.
- Strategic use of documentation (SOW, RAM, Communication Plans) for stakeholder alignment.
- Comprehensive risk management and impact assessment for extreme sports events.
Excerpt from the Book
3.2 Responsibility Assignment Matrix (RAM)
Establishing roles and duties among the project's participants improves the project's efficiency and is a significant role of the project manager. This is because it clarifies one's function and motivates team members to take responsibility for the roles they are responsible for.
The benefit of adopting this technique is that it allows us to objectively determine each member's contribution in each of the stated deliverables. This allowed me to assign work amongst my team members in accordance to their areas of expertise. It also empowered them to make decisions about the activities they are responsible for completing. In so doing, I accomplished an essential objective of distributing the workload and guarantying that neither was any of the team members nor I was overburdened with obligations. Overload may result in poor job quality, disagreement among internal and external stakeholders, and a lack of responsibility for the project (Bjarnason & Hochdorfer, 2007).
The disadvantages are that my team members began to separate themselves visibly and took a little attempt to assist in jobs for which they were not accountable or liable. This has resulted in internal strife and, as a result, inefficiency in accomplishing duties. This is not acceptable for a small team, in my opinion, since project success is accomplished by the team's combined effort, and should not be a factor of an individual’s allocated functions and responsibilities.
