This professional residency report addresses improvements to new themed rooms within the facilities of the Aguascalientes State Museum, whose main function is to
provide families and schools in the state and surrounding areas with a place where they can learn about new forms, experiences, and information about the rooms on
display to ensure a satisfactory visit for the aforementioned groups, thereby recommending the museum and making it more attractive to future visitors.
To provide further details, background information on the history of the museum is provided. The project was developed in stages, beginning with the provision of
fundamental information about the museum's facilities, working methods, and promotion of the new galleries. This is so that companies or associations wishing to
form part of the museum have a clear understanding of how the material provided is used and the impact it has on visitors.
The most important activity is to make preparations for the opening of the exhibition hall and ensure that it is available to visitors, as this is where the most emphasis is
placed, with the media recording the opening from start to finish to provide the best marketing for the hall. This will make families and schools even more interested in
finding out what's new at the museum and ensure that both children and adults learn from this experience.
Finally, suggestions and conclusions are presented, including monitoring the logistics involved in implementing this so that in the future, if new rooms want to become part of the Museum, they receive the necessary attention, supervision, management, reception, assembly, and opening.

ABSTRACT

To detail, background information on the history of the museum is provided, the project was developed in stages starting with providing fundamental information about the facilities, way of working and promotion that is given to the new rooms, this so that the company or association that wants to be part of the museum has well structured how the material provided is worked and the impact it generates to visitors.
The activity that he highlighted is to make preparations for the inauguration of the room and make it available to visitors, because it is where more emphasis is placed, reaching these media recording from beginning to end the inauguration to give the best marketing to the room and with this families and schools are even more interested in knowing what is new in the museum and that both children and them learn with this experience.
Finally, suggestions and conclusions are presented, among them is the monitoring of the logistics that implements this so that in the future if new rooms want to become part of the museum, they have due attention, supervision, management, reception, assembly and opening.
The conclusion emphasizes the success of the management that was carried out so that the new room was in time, operation and form for the directors, media and visitors of the museum.
INTRODUCTION
Management is not an easy task to carry out and even less so if it is combined with logistics, it is a detailed process in which both parties must be in synchrony for good communication and the best result.
The main activity of the museum is to receive and serve visitors and tourists, in which this is the main need to be met.
This report focuses on the improvements in the logistics of the critical path proposed for the management, reception, assembly and opening of new thematic rooms within the museum, addressing the main need, but more importantly to provide a wide catalog of activities to be done within the museum, this to make the visit more attractive and attract more audiences.
As well as creating possible improvements and continuing to give continuity to what has been executed in this time of work because it is their strong point, then they must have emphasis on that aspect.
CHAPTER 1 MUSEUM DESCRIPTION
The following chapter will present a detailed description of the museum including its background and services, its mission, vision, clients and location resulting in a complete understanding of the elements that have led the museum to be one of the most visited in the state of Aguascalientes, Mexico.
1.1 BACKGROUND
It opened its doors to the public on November 20, 1996, with the aim of promoting knowledge of science and technology among the population, through interactive activities and programs aimed at people of all ages, the museographic concept was carried out by the company Evolucion; the areas that make it up bear the names of Universe - Astronomy, Planet-geology, Environment-biology, Development-anthropology, Technological development, Garden of science-physics and Armalito, the latter remodeled in 2002.
It has an IMAX screen for large-format film projections, auditorium, library, video library, cafeteria and shop.
1.2 PRINCIPLES
1.2.1 Mission
Democratize knowledge in Aguascalientes through the promotion of scientific research, technological development and innovation, hand in hand with various institutions of the public and private sector to promote the transfer of knowledge and the development of specialized talent, we are dedicated to generating a positive impact on society by contributing to economic growth and equity in our community.
1.2.2 Vision
To keep the museum in optimal operation, through the correct application of its strategic programs, innovative projects and the management of agreements that promote its economic and social growth towards the Citizens, taking care of the profitability of its services; as well as the administration of its resources and promoting the image of the Government of the State of Aguascalientes.
1.3 Services
It is one of the most visited museums in the state of Aguascalientes, it specializes in receiving and attending among its main services that it offers are:
• Printed museum guide and brochure
• Guided tours
• Conferences
• Interactive pieces
• Workshops
• Discover Shop
• Observatory, Planetarium, 4D and IMAX
• Educational services with theater, painting and science and technology workshops, for children, young people and adults.
1.4 Customers
The museum opens its doors to the general public, educational institutions, its main client, companies and tourists.
1.5 DESCRIPTION OF THE AREA WHERE WORK WAS DONE
Within the museum, the issue of rooms is fundamental for the development of day-to-day activities to serve visitors, which is why the improvement in the logistics of the rooms is one of the main responsibilities, from the correct control of these from arrival to departure, as well as having everything in order and in operation with a previously trained staff, ensuring customer satisfaction.
CHAPTER 2 PROJECT DESCRIPTION
In this chapter, we will talk about the content of the project, as well as the factors that led to its planning and execution, the main factor to be addressed, as well as the objectives and tools necessary for the implementation of it.
2.1 BACKGROUND
The main service of the museum is the reception and attention, for this it needs its facilities to be in good condition both in cleanliness and in content to offer to visitors, that is why an emphasis is placed on the rooms that are implemented in the museum to make it interesting, educational, but above all attractive and interactive to receive future visitors or tourists because the museum not only received visitors of local people but also from other states and countries.
In the rooms there are normally guides attending them, that is, high school young people who are carrying out their service or practices, generally they lack knowledge of the subject that is carried out in the room, that is why they need prior training before being in office to receive visitors and explain the content of the room in which they are assigned.
The main points that stand out on this topic of guides are:
• Lack of training.
• Lack of commitment in their task to be carried out.
• Panic of communicating to the public.
• Not being aware of the room and its material.
2.2 PROBLEM TO BE SOLVED
It is desired to carry out the correct management of the room, providing a pleasant monitoring and attention so that the company's staff and workers have the confidence that if help is necessary, it will be provided in the best way.
In this way, facilitating the reception, assembly and opening of the room is a success, thus achieving the satisfaction of the museum directors.
In the same way, cover the issue of the correct explanation of them, emphasizing that the guides are provided with the correct training, lose panic and be more sociable and pleasant towards the public, but above all, if there is a problem with the material or lack of it within the room, it is up to the coordination of guides to solve the problem and the room is in perfect conditions for the visitor, achieving customer satisfaction, good comments and increased interest in knowing the museum.
2.3 OBJECTIVES
2.3.1 General objective
Be aware at all times of possible delays or changes in the dates already agreed in the same way, monitor that the logistics of the company that transports the materials of the room are being carried out in an adequate way in case an event arises in which it can corroborate to do so in a timely manner as well as surveillance is aware of its arrival so that they can enter the museum to unload and assemble of the room without delay to finally corroborate the directors of the museum and give way to inform the media about when the new room will be available to the public.
2.3.2 Specific objectives
1. To provide fundamental information about the museum's facilities, way of working and promotion of the new rooms.
2. Schedule an appointment with the museum's directors.
3. Verify the agreement with the museum to give way to the necessary requirements to obtain a place.
4. Monitor the time that is contemplated for the transfer of the material from the room, time of arrival at the museum, time of unloading and assembly time.
5. Supervise the installation, that the material is complete and working.
6. Receive the room managers to provide the training of the room to the museum staff.
7. Make preparations for the opening of the room and make it available to visitors.
8. In the event that it is decided to expand the court's agreement, it must be dealt with and specify the time it entails.
2.4 JUSTIFICATION
Establishing a good management system for future rooms that arrive at the museum leads to better logistics in terms of time, safety and effectiveness on the part of the museum and the company so that the process that is carried out between both parties is faster.
2.5 SCOPE AND LIMITATIONS
2.5.1 Scopes
It implies generating impact in the community, specifically in schools, which is the largest customer of the museum, giving children a new perspective of seeing life based on education, as a result of this making children recommend a visit to the museum to their parents or family, expanding the visits to another level where sometimes it is international and that these people see that if they come to Aguascalientes the museum is a destination that they must visit.
2.5.2 Limitations
At the time of carrying out the project, the following limitations were presented:
• Support in activities such as helping or providing areas outside my workplace.
• Annoying customers who turned to me for questions or solutions.
CHAPTER 3 THEORETICAL FRAMEWORK
3.1 DEFINITION OF LOGISTICS
Logistics is the supply chain process that involves planning, executing, and managing the efficient flow of materials and information from start to finish to meet customer needs.
3.2 LOGISTICS OPERATOR
It is the company that is in charge of the planning, implementation and efficient control of the physical flow, that is, that the services and information are appropriate from the point of origin to the end with the main objective of customer satisfaction.
3.3 THE CRITICAL PATH IN EXHIBITION PROJECT MANAGEMENT
The critical path in the management of exhibition projects involves identifying the activities that are essential to meet the established deadlines, in this sense, for the museum, the critical path includes all the stages of the process of opening a new thematic room, from the conception of the idea to the inauguration of the room to the public.
Key activities within the critical path could include:
• Design and planning of the theme room.
• Reception and verification of materials.
• Coordination of the assembly of interactive and support exhibitions.
• Installation of technological systems (screens, projections, sound equipment, etc.).
• Final tests and adjustments.
The goal of improving critical path logistics is to ensure that each of these activities is performed on time and in the correct order, minimizing potential delays and optimizing available resources.
3.4 MANAGEMENT OF THE RECEIPT OF MATERIALS AND EQUIPMENT
In the context of the museum, this stage encompasses the reception of elements such as exhibition objects, interactive technology, furniture and other components necessary for the thematic room.
To improve logistics in this phase, the following aspects should be considered:
• Quality Control: Verify that the materials and equipment delivered are correct and in good condition before being used.
• Inventory Management Systems: Implementation of technological tools that allow registration and control of the inputs received, such as inventory management software.
• Delivery and storage times: Adequate planning of reception times to avoid delays that may impact the project schedule, as well as the adequate distribution of storage space to facilitate access to materials when they are needed.
These logistical improvements allow the receiving process to be carried out smoothly, without generating bottlenecks or rework.
3.5 SETTING UP THE THEMATIC ROOMS
Assembly is the phase in which the physical activities of construction and installation are carried out within the museum, this includes the arrangement of furniture, the installation of interactive exhibitions, the placement of screens, projectors and other technological systems, as well as the decoration of the space.
To optimize this phase, it is necessary to:
• Planning the assembly sequence: Develop a detailed schedule that establishes in what order assembly activities should be carried out to avoid bottlenecks.
• Coordination of human and material resources: Ensure that work equipment is available according to the established schedule and that the materials needed for each assembly phase are ready and accessible.
• Use of technology for coordination: Project management tools (such as specialized software) can help track progress in real-time, alerting to potential delays and adjusting resources as needed.
An improvement in assembly logistics ensures that themed rooms are installed correctly, without delays, and with the expected quality.
3.6 OPENING OF THE NEW THEMATIC ROOMS
The opening of a new themed room is the final event that marks the success of the project. In this phase, logistics focuses on:
• Pre-opening preparations: It includes activities such as testing of technological equipment (sound, video, lighting), final adjustments to the exhibitions and the general cleaning of the room.
• Opening Event Management: Ensure that the inauguration runs smoothly, coordinating visitor access logistics, presentations, promotional materials, and necessary human resources.
• Post-opening control: It is crucial to carry out a post-opening assessment to detect operational problems and correct them quickly, such as failures in technological equipment or in the layout of exhibitions, improving logistics at this stage ensures a smooth transition from the assembly phase to the final visitor experience.
3.7 TOOLS AND TECHNOLOGIES FOR LOGISTICS IMPROVEMENT
To improve critical path logistics in the museum, various technological tools can be implemented, such as:
• Project management systems (ERP and task management software): They allow you to organize and follow the different activities of the project efficiently, facilitating coordination between work teams.
• Inventory Management Technology: Tools such as RFID or barcodes for more precise control of materials and equipment.
• Real-time monitoring technologies: Use of sensors and software to track the progress of tasks and alert of potential delays or problems.
3.8 IMPORTANCE OF LOGISTICAL IMPROVEMENT IN THE DISCOVER MUSEUM
The improvement in the logistics of the critical path for the management, reception, assembly and opening of new thematic rooms is essential to ensure that the museum maintains its quality and efficiency in the creation of new exhibitions, the correct management of resources, times and activities in each phase of the project contributes not only to the fulfillment of deadlines and budgets, but also to the satisfaction of the visiting public.
3.9 CUSTOMER SATISFACTION
It is a measure of the value that consumers have of a company's products and services, it is a performance indicator that shows whether the company meets or exceeds customer expectations.
CHAPTER 4 DEVELOPMENT OF ACTIVITIES
4.1 DEVELOPMENT OF ACTIVITIES
4.1.1 Provide fundamental information about the museum about the facilities, way of working and promotion given to the new rooms.
The process of providing the information was practically based on a call where the people in charge of the room (water with water) went to the museum's telephone line to provide feedback on what they knew about the museum, in this call a server solved doubts they had, for example, where the location of the room would be, the publicity that would be given to them, the way in which they would work with the material that is provided for the room, etc.
After resolving the doubts, I am told about the interest in acquiring the place to be part of the museum, it is at this point where I let the directors know and I pass the call directly to them because they are in charge of giving in-depth information on the necessary requirements and scheduling an appointment.
4.1.2 Schedule an appointment with the museum directors
After finishing the call, the directors go to me to inform me of the day and time that is planned for the meeting where I emphasize being aware of the arrival, receiving them and informing them of their attendance to direct them to start the meeting.
4.1.3 Monitor the time contemplated for the transfer of the material from the room, time of arrival at the museum, unloading time and assembly time.
Once the meeting was over, I was informed of the day on which the workers in charge of the room arrived for unloading and assembly, the time of these activities was taken a day for each activity because there was not too much material and machines that had to be installed as well as the day of arrival was respected according to the established day.
4.1.4 Supervise the installation, that the material is complete and working.
First of all, the workers in charge of installing the equipment are given an explanation of connectors and areas that they can occupy to connect equipment that needs electricity, in the same way the observation and analysis of the machines or materials that they consider most relevant is done, this to put them at the beginning or end of the room considering the impact that this activity generates on the public.
Once everything is arranged, a checklist is made to verify that all the material was delivered and the verification and explanation of how to program, turn on, turn off or use the machines is carried out, this is provided to the museum's production team who are in charge of turning on the room day by day and solving the problems that may arise with the machines.
4.1.5 Receive the room managers to provide the training of the museum staff.
Once the entire room is installed and in operation, the room managers send experts to the museum who can explain how the machines or materials that were provided for the room work.
The training of the room staff must be given to the guides who are in charge of receiving the public in the rooms and explaining the content, that is why each of them must be at the time of the training so that they learn it in advance the necessary information to teach the tour of the room is where a server gathers all the guides in the room with the trainer for said aforementioned activity.
4.1.6 Make preparations for the opening of the room and make it available to visitors
This activity is the most specific with no margin for error where it practically has to go out the first time due to the participation of the media where a server places them to install the cameras and sound that will be needed to carry out the transmission.
Once the means are installed, emphasis is placed on the time of the inauguration, this to have communications to the directors of the museum and to be present in a timely manner because they are the ones who give the words of welcome, of the room and cut the ribbon so that it is officially open to the public.
For this inauguration, we had the help of a high school group which served as an audience and the help of the VA + Noticias newscast, who are in charge of marketing it on social networks.
4.1.7 In the event that it is decided to extend the courtroom agreement, it will be dealt with and specify the time it takes
The room is still in operation as of the date I write this report, but at the time of writing,
The information collected The agreement with the museum lasts 6 months The room was inaugurated on October 15, 2024, so its agreement ends in April of this year.
In the event that it is desired to expand the agreement, it is extended to 3 months and verify that another project is not on hold, otherwise you will have to wait until further notice or terminate the agreement initially discussed respecting the 6 months agreed.
4.2 RESULTS GENERATED
The most notable result during the period of the implementation of the room was reflected in the consolidation of the same, thanks to the support of production and media, the perfect inauguration was achieved.
But more importantly, my ability to communicate effectively and understandably, I was able to give the correct indications for the accommodation and that the information and training was imparted in the best way to the guides and production.
In advance I also wanted to know about the process of the room from what was the interest they wanted to generate in society, being the care of water and recommendations for this, as well as knowing well how each machine and material in the room worked, this made that on the day of the inauguration I was in charge of giving the tour to the directors of the museum with this managing to appear in the recording and Being able to publicize other rooms thanks to the desire to learn and improve my skills I was able to achieve these results towards the project but above all to satisfy the directors of the museum who thanked my work, dedication and desire for things to go in the best possible way.
CHAPTER 5 OVERALL CONCLUSION
5.1 GENERAL CONCUSSION
In the period of this project, a significant change and update of the way of working that had been carried out in the Museum was reflected, in the first I delved deeper into the world of management, strengthening customer service and communication, engaging in conversations at a professional level, showing a correct posture and knowledge that thanks to this I was given the confidence to be able to direct both internal and external staff, since that my main function was to give information and get to know the museum in detail, this to solve doubts and seek the approval of the client, making him see that we were the best option, where today we seek to have everything in order and operation, obtaining continuous improvement and customer satisfaction.
In the field of logistics, see that what is needed or is structured, in this case material and machines, are delivered in their entirety and come in optimal conditions, seeking to have the most up-to-date for the correct interaction and understanding of the room, as was done in emphasis on the proper supervision of the work of those in charge in the facility, where previously they were only told where to put things and complete freedom of organization was allowed.
Nowadays this is supervised more than anything to verify that the work is professional and not only leave things and put them into operation to fulfill their work but to give emphasis or opinions that it would look better and ask even the slightest doubt and be correctly communicated to the personnel who will be in charge of having the room in operation in this case the production staff where in the past they solved the problems things because of the notion or experience they had, I am not saying that it is wrong but perhaps it is not the right way to do it today they are okay trained in the room they gave me for my project personally satisfying me that they actually know what to do in case of a failure or problem.
I can affirm that the implementation of an improvement program is really beneficial for the museum as workers where a new way of working, greater efficiency and a fast and orderly way of managing the staff were achieved.
As for my personal experience acquired, I consider it extremely enriching because I have learned the importance of correct management but above all the form of communication since this opens doors to new people where for me everyone was the same and thanks to this I gained the trust that other people trusted me for advice or help in addition to this helped me personally to know how is it that you really deal with clients as well as having a good organization and knowing how to direct a staff in my charge who corresponded to my indications in the best way.
5.2 RECOMMENDATIONS
To further optimize this improvement program, the following recommendations are suggested, which not only seeks to improve the experience of customers or future residents, but more than anything else in the integration and operation of the team that makes up the museum.
1. Consider good communication
It is of utmost importance that everyone is on the same page, that the information is not left for the last minute, because this can make a difference in a good plan of activities, avoiding complaints or anger, where very independently of this, it generates the unpunctuality of a possible start and end time, causing with this lack of communication that the time is longer or even missing information that is, given quickly due to lack of time.
2. Companionship
Clearly it does not mean that everyone is friends, but it does mean that everyone has the awareness that what one does can harm the others where everyone is a team that depends on each other.
Good dialogue between colleagues can make the difference to create a good solution and not simply be looking for who is the possible culprit, creating enmities and therefore lack of communication or that the information is not given in a timely manner just because you do not get along.
